What personal data Quorin Technologies holds about you, why, and for how long. For a self-hosted deployment the answer is much shorter than you are used to.

Draft — not yet in force
This document is missing details that only Quorin Technologies can supply, and it has not been reviewed by a qualified lawyer in Zimbabwe. Do not rely on it, and do not present it to a customer, until both are done.

1. The distinction that governs everything below
Your Archon deployment is yours. The personal data inside it never reaches us. Archon runs on infrastructure you control. Your users’ names and email addresses, your notebook entries, your samples, your audit trail and your electronic signatures are stored in your database, on your server. We have no access to them, no copy of them, and no technical means of obtaining them. Archon makes no outbound connection to us — not to verify a licence, not to check for updates, not to report usage.
For that data, you are the controller and we are not a processor, because we do not process it at all. This policy therefore covers only the small amount of data we hold about you as a customer or enquirer.
If your own compliance framework requires a processor agreement on file regardless, see our Data Processing Agreement, which sets out the position formally and covers the narrow cases where we do process data on your behalf.
2. Who we are
The controller of the personal data described in this policy is Quorin Technologies, of [TO BE COMPLETED].
Data protection enquiries: quorinstartup@proton.me.
3. What we collect, and why
We hold personal data in four narrow circumstances.
3.1 When you contact us
If you email us about pricing, support, a quotation or a security issue, we hold your name, email address, organisation and whatever you chose to tell us, so that we can reply and keep a record of the exchange. Lawful basis: our legitimate interest in responding to people who contact us.
3.2 When you buy a licence
We hold the billing contact’s name and email address, your organisation’s name, its Archon organisation identifier, the invoice or purchase order reference, and the licence records we issued. Lawful basis: performance of our contract with you, and our legal obligation to keep accounting records.
We never see your card or mobile money details. Card and mobile money payments are handled entirely by our payment providers, who send us confirmation that a payment succeeded and a reference — never the instrument itself.
3.3 When you redeem a pilot code
We record that a specific pilot code was redeemed, by which organisation, and when, because pilot codes are limited in number and each may be used once. This does not give us access to anything inside that deployment.
3.4 When you visit this website
Our web server records the request — IP address, page requested, timestamp, user agent — in ordinary server logs, for security and to keep the site working. We run no advertising network, no analytics product, no session recording and no third-party trackers. See our Cookie Notice.
4. What we do not collect
To be explicit, because in this market it matters:
- Your laboratory records, of any kind, in any form.
- Your users, their accounts, their credentials or their activity.
- Your audit trail or your electronic signatures.
- Telemetry, usage statistics or feature analytics from your deployment.
- Payment card numbers or mobile money credentials.
5. Who we share it with
We do not sell personal data and we do not share it for advertising. We disclose the limited data described above only to:
- Payment providers, to take and reconcile a payment you initiated. Each provider is an independent controller of the payment data it collects, under its own privacy policy.
- Our email provider, to deliver correspondence and invoices to you.
- Our accountants and, where required, tax authorities, to meet accounting and tax obligations.
- Law enforcement or a court, where we are legally compelled. We will tell you unless we are prohibited from doing so.
6. International transfers
We operate from Zimbabwe. Where a supplier listed above processes data in another country, we rely on appropriate safeguards — standard contractual clauses or an equivalent mechanism — for that transfer.
This does not apply to your laboratory data, which is not transferred anywhere, because it stays on your infrastructure. That is the point of the product.
7. How long we keep it
| Data | Retained for |
|---|---|
| Enquiry and support correspondence | Three years from the last message |
| Licence and billing records | Seven years, or as tax law requires |
| Pilot code redemption records | Three years from redemption |
| Web server logs | 90 days |
8. Your rights
Subject to the law that applies to you, you may ask us to give you a copy of the personal data we hold about you, correct it if it is wrong, delete it, restrict or object to how we use it, or provide it in a portable form. You may also withdraw consent where we relied on it.
Write to quorinstartup@proton.me. We will respond within one month. We do not charge for this unless a request is manifestly excessive.
If your request concerns data inside an Archon deployment, we cannot action it — ask the laboratory that runs it. They are the controller of that data and they are the only party with access to it. Archon gives them the tools to find and export it.
You also have the right to complain to your data protection supervisory authority.
9. Security
We protect the data we hold with access control, encryption in transit, and encryption at rest for our own systems. For how Archon protects the data you hold, see our Security Statement.
10. Children
Archon is professional laboratory software and is not directed at children. We do not knowingly collect personal data from anyone under 16.
11. Changes
We will update this policy when our practices change, and will change the “last updated” date at the top. Where a change is material we will notify customers by email.
